Privacy Policy – Rubi

Rubi is the subtitling and workflow system of Elrom Studios (Ulpanei Al-Rom). It is used by Elrom's staff and by the freelance translators, editors and reviewers who work with us. This policy explains what information Rubi collects, why, and how it is handled. It covers Rubi 1.5 (rubi-elrom.tv) and Rubi 2.0 (the Rubi ERP).
1. Signing in with Google
When you sign in with your Google account, Rubi receives only your name and email address from Google. We use them to recognise you, to let you into Rubi, and to show your name on the work you do. We do not receive or store your Google password, and we do not access your Gmail, contacts, Drive or any other Google data.
2. Who can sign in
Only people Elrom has added can sign in: Elrom's managers, and freelancers whose Google email address an Elrom manager has entered in Rubi. If you are not on that list, Google may still sign you in, but Rubi will not give you access.
3. What else Rubi keeps
To run our work, Rubi keeps work information: orders, customers, work steps, deadlines, who did each step, rates and payments owed to freelancers, and the files of each job (videos, scripts and subtitle files). A small cookie keeps you signed in for up to 30 days; it contains no advertising or tracking.
4. Services we use to do the work
Work files are stored with Google Drive and Mux (video). Automatic speech recognition and machine translation are done by Speechmatics and XL8. Rubi runs on Render and Base44. These companies process the files only to provide their service to Elrom.
5. What we don't do
We do not sell or rent personal information, we do not use it for advertising, and we do not share it with anyone except as described above or when the law requires it. Information received from Google is used only to sign you in, in line with the Google API Services User Data Policy, including its Limited Use requirements.
6. How long we keep it
Your name and email stay in Rubi while you work with Elrom. When a manager removes you, you can no longer sign in; your name remains on work you already did, because our business and tax records need it. Job files are removed once they are no longer needed for the work.
7. Your choices
You can ask to see the information Rubi holds about you, to correct it, or to have it deleted where the law allows, by writing to [CONTACT EMAIL]. You can also remove Rubi's access at any time in your Google Account under Security → Third-party apps with account access.
